Here's how to calibrate correctly, whether you're using gap-separated labels or black-mark-marked continuous media.
Which Type of Calibration Do You Need?
Two different calibration modes exist because there are two different ways label media handles positioning:
Gap sensor calibration — for standard label rolls where each label is separated by a small gap (visible as a thin transparent strip between labels). Most retail and shipping label rolls use this format.
Black mark sensor calibration — for continuous media that has a printed black mark on the back at each label boundary. Common on receipt-style label rolls and specialty industrial labels.
How to tell which you have:
- Peel back a small section of the top layer. If you see a clear liner between distinct labels: gap media
- If the label stock is continuous with periodic black stripes on the back: black mark media
- If neither: continuous media without position markers (label size must be set manually, no auto-calibration used)
Running the wrong calibration mode for your media type will fail — this is one of the most common reasons calibration "doesn't work" for people.
Before Calibrating
Do these first for reliable results:
- Load a fresh section of media. Torn or damaged leading edges throw off calibration. Cut a clean straight edge before starting.
- Confirm the media is loaded correctly. Roll positioned in the holder, media threaded through the sensor path, cover latched firmly.
- Clean the sensors. Dust or adhesive residue on sensors causes calibration to fail or produce wrong values. Clean gently with a cotton swab dampened in isopropyl alcohol.
- Set the correct media type in the printer or driver settings. If the printer thinks it's using black mark media when actually it's gap media, calibration will fail regardless.
Calibration Procedure by Model
XD5-40 Series
The XD5-40 has one of the most straightforward calibration processes:
- Enter the printer's setting menu.
- Navigate to Sensor.
- Select Gap Cal for standard gap-separated labels, or Black Mark Cal for continuous media with black marks.
- Confirm — the printer feeds a length of media and automatically calibrates.
- Verify the result by printing a test label.
If auto-calibration fails, the model also supports manual calibration through the Unified Label Utility-II software. In manual mode, you specify the sensing type, input the label length in millimeters, click Check Sensing Value, and save the optimal reading.
XD3-40 Series
Stand-alone calibration options are accessed by entering the printer's configuration mode:

Testing Calibration Results
After calibration, verify with a real test:
- Print a test label from the printer's own diagnostic function (usually available in the setting menu).
- Confirm the entire test pattern prints on one label, positioned correctly within the label boundaries.
- Print several test labels in succession — each should print on its own label, cleanly positioned.
Signs of successful calibration:
- Every label prints in the correct position
- No wasted labels between print jobs
- Print content doesn't cross label boundaries
Signs calibration didn't fully work:
- Content prints partially on one label and partially on the next
- Extra blank labels feed between prints
- Print position drifts progressively over multiple labels
- Some labels print correctly and others don't
If calibration didn't succeed, recheck media type selection and sensor cleanliness before rerunning.
When to Recalibrate
Recalibration is needed whenever:
- You change label roll brand or supplier

Recalibration doesn't need to be done routinely — only when something changes.
Media-Type Best Practices
A few habits that make calibration more reliable long-term:
- Stick with one media brand and specification. Different brands' label rolls have slightly different gap dimensions or black mark opacity, which means recalibrating every batch change.
- Buy from vendors with consistent stock. Some suppliers change manufacturers within the same product SKU, giving you inconsistent media even when you're ordering "the same thing."
- Store media in stable conditions. Temperature and humidity affect label backing and adhesive, which can subtly change how sensors detect boundaries.
- Keep spare rolls of your working media configuration. If you're forced to switch brands mid-shift, calibration hassle is significant. Having tested backup stock saves time.
Troubleshooting Failed Calibration
If calibration attempts consistently fail:
Sensor is dirty. Even after visible cleaning, tiny residue can affect sensor readings. Clean more thoroughly, let it dry completely, retry.
Wrong media type selected. Verify the printer is set to gap media if you have gap-separated labels, or black mark if you have marked continuous media.
Sensor position is wrong for your media. On some models the sensor position is adjustable (a slider or wheel that moves the sensor across the width of the media). If the sensor isn't aligned with the gap or mark position on your specific media, calibration will fail. Consult your model's manual for how to adjust sensor position.
Media is out of spec. Some unusual media (very thin, very reflective, unusual liner materials) simply won't calibrate through auto mode. Manual calibration with the utility software is your best option, or switch to a more standard media type.
